Here are 5 wedding day details that are often overlooked (even by experienced planners), and how we work hard behind the scenes to catch and correct them in real-time.

  1. Personal Decor & Small Details Brought by the Couple
    The challenge: Couples often bring special touches — parasols, glow sticks, personalized signs, baskets, or favors — with the expectation that they’ll be placed out at just the right time. But when there are multiple boxes, tight timelines, and last-minute changes to layout or logistics, some items may be accidentally delayed or missed.

What we’re doing:

Assigning one team member to be fully in charge of the client-supplied decor list

Creating a “last check” inventory crosswalk before ceremony start

Placing extra sticky notes or tags on important items to ensure visibility

Bonus tip for couples: Keep items organized by zone (ceremony, reception, dance floor) and include a printed reference sheet with your boxes.

  1. Bustling the Wedding Dress Before Grand Entrances
    The challenge: Amid portraits, dress changes, and guest transitions, bustling the gown can get overlooked — which means the bride may walk into her reception uncomfortably, or worse, trip on her train.

What we’re doing:

Adding a specific “Bustle Check” reminder to our internal timeline, 15–20 minutes before entrances

Making sure one team member is on “bride duty” during key transitions

Asking brides in advance who knows how to do the bustle, and coordinating with them beforehand

Real fix we’ve made: We now carry a mini flashlight or phone light and mini sewing kit — for those tight, dark pre-entrance moments.

  1. Water Service (Yes, Really)
    The challenge: On hot days, guests often go through water much faster than expected — especially at outdoor or tropical weddings. When there’s no designated server or table pitcher system, hydration becomes inconsistent.

What we’re doing:

Including water service review during catering final walkthroughs

Advocating for self-serve hydration stations at outdoor weddings

Confirming in writing with bar teams whether water is part of their guest service responsibilities

Tip for couples: Ask your planner how water will be provided at tables — not just at the bar.

  1. 📸 Missing a Special Photo Request
    The challenge: Couples often request a few special photo moments — under an arch, holding parasols, or in front of the venue. If timelines run long or lighting changes quickly, some of those photo ops may be missed.

What we’re doing:

Reviewing the must-have photo list with the photographer during morning setup

Marking priority shots that reflect emotional or design value (e.g. architecture, cultural elements)

Offering a “photo recovery” moment before sunset to grab any missed shots

Tip for couples: Keep your top 3–5 “non-negotiable” shots simple, visual, and clear.

  1. 🔌 Backup Power, DJ Logistics, and Timeline Fluidity
    The challenge: Power fluctuations, vendor setup delays, and sound transitions can interrupt a perfectly curated flow of music and ambiance. Sometimes, you’ll get a silent dinner. Or a delayed first dance.

What we’re doing:

Creating shared WhatsApp groups with vendors for live timeline cues

Coordinating with venue staff about generator and power sources before the event

Assigning a timeline runner to keep the DJ, MC, and lighting synced and informed

Our mindset: The timeline is our framework — not a fixed script. We move it with care when needed to protect the experience.
